Code of Conduct
At Soul Fire Studios, we truly love the community we share. This is a place where people feel welcomed, understood, and respected for who they are; where we can grow together to become the highest expression of ourselves. We also like to create a peaceful environment where we can hold a respectful and silent atmosphere within the studio.
In order to foster this vision, each of us agrees to follow this Code of Conduct.

Abuse and harassment of any kind will not be tolerated.
If this Code of Conduct is seen to be violated by any studio member or staff, the incident should be reported to management within 24 hours. Incident reports can only be filed by those who have direct experience with a violation.
The report will be submitted to the Studio Managers who will review the information and contact the parties involved to assess the situation.
It follows that if the situation cannot be mediated or resolved by management, all parties involved may be suspended from Soul Fire Studios premises until the matter is resolved.
Anyone found to be violating this Code of Conduct may have their membership agreement or class pass terminated without a refund.

Membership Terms and Conditions
Commitment
Initial commitment of 12 months that continues thereafter on an annual basis. Termination of the contract requires a minimum of 7 days written notice sent via email and will be scheduled for the end of the current payment period. Early termination fees apply.*
Suspensions
You can suspend your membership for up to 60 days per year (minimum hold of 14 days). If you need longer than this, please get in touch to discuss your circumstances and options. Suspensions will be applied with a start and end date, and will lift automatically on the mutually agreed date.
Notification
All membership communications MUST be made via email to info@soulfirestudios.co.uk. In order to make sure we can get everything sorted in time, please allow at least 7 days notice to amend, suspend or cancel your membership. Late notifications will not be actioned retroactively.
Class Schedule
The weekly class schedule is subject to seasonal change. We make minor style and time changes in order to improve the service offerings, and may cancel a class if there are fewer than 5 bookings. While we are open to member requests (via email), we cannot guarantee ‘the best schedule’ for everyone, therefore, these terms and conditions still apply.
Class Cancellation Policy
Class bookings that are cancelled 2+ hours before class time are considered an ‘Early Cancel’ and not charged. Class cancellations after this period are considered a ‘Late Cancel’ and will be charged (the class will be deducted from your pass or prepaid class purchase). There is a 1 hour grace period to cancel a class booking that has been made.
Please cancel your booking using the method used to book your spot. This can be on the WellnessLiving Achieve app, our Soul Fire Yoga App, on our website, or through your booking confirmation email. If this is not possible, please call the studio 45 - 15 mins before the class start time to speak to the teacher so they can cancel it for you (0114 221 6551).
Emails are not an acceptable way to cancel your class booking.
Emails
By taking up a membership you will automatically be added to our mailing list. This will allow you to receive receipts, get updates about the class schedule and what’s going on at the studio. You’re welcome to unsubscribe at any time by clicking ‘unsubscribe’ from the bottom of the email. You will still receive emails that pertain to your membership and payment receipts.
Payment
Payments are made through a monthly card autopay. Your card details are stored securely on your account. By signing this you authorise us to charge your card monthly with any additional late payment fees. You may be asked to update your card details periodically and will be notified of failed payments. Please read the Details below carefully regarding your obligations for membership payments under this contract agreement.
Membership Terms and Conditions Details
MEMBER, by executing this Agreement, does hereby join the STUDIO and such membership entitles the MEMBER to use the facilities. The MEMBER is entitled to use the yoga studio facility only and shall be required to provide own or hired equipment and dressed in appropriate attire.
MEMBER agrees to abide by all membership regulations of the STUDIO. MEMBER agrees to comply with stated and customary rules for participation and use of equipment. Unless cancelled as provided in this Agreement, MEMBER will be responsible for all payments due and owing under this Agreement, even if MEMBER does not use the STUDIO’s facilities and services. However, in the event of death or disability, liability for fees will terminate as of the date of death or disability. If the STUDIO becomes temporarily unavailable due to an event such as fire, flood, loss of lease, or the life, we will extend the MEMBER’s membership privileges for the period the facilities were unavailable.
If MEMBER violates this Agreement and the terms contained therein or any of the rules and regulations for use of the facility, the STUDIO may suspend the MEMBER’s right to use the facility until such time as the MEMBER provides the STUDIO with reasonable assurance of future compliance. During the period of any such suspension, the MEMBER shall not be entitled to a credit for any prepayment of dues or other fees due or paid pursuant to this Membership Agreement. In the event MEMBER continues to violate the terms of this Agreement or the rules and regulations governing the facility, the MEMBER’s membership may be terminated by the STUDIO, and the balance of the contract declared due and payable in full immediately.
MEMBER agrees that he/she/they shall not engage in any type of commercial or business activity while using the facilities. MEMBER shall not act as a teacher/trainer for any other MEMBERs or guests and any acts which constitute such business activities are strictly forbidden. If MEMBER engages in such commercial or business activities MEMBER’s membership shall be subject to immediate cancellation and the balance of the contract declared due and payable in full immediately.
MEMBER agrees that MEMBER shall abide by the STUDIO dress code at all times while in the facility.
MEMBER agrees that MEMBER shall not use loud or profane language upon the STUDIO premises nor shall MEMBER molest, badger, assault or harass other STUDIO MEMBERs, guests or employees as posted in the Code of Conduct. If MEMBER engages in such behaviour, MEMBER’s membership shall be subject to immediate cancellation, and the balance of the contract declared due and payable in full immediately.
MEMBER understands MEMBER may be photographed at the STUDIO. By execution of this Agreement, MEMBER agrees to allow MEMBER’s photo, video or likeness to be used for any legitimate purpose by the STUDIO, and their respective producers, sponsors, organisers and/or assigns, at their discretion. MEMBER acknowledges that by signing this Agreement, MEMBER gives up all claims of ownership, income, editorial content, and use of such media. If the MEMBER does not authorise photography, please make this preference known to any staff, teacher, or consultant photographers so that this request can be accommodated. All photo documentation will be announced with the opportunity to opt-out.
MEMBER agrees that if MEMBER fails to use the STUDIO facilities or services that shall not release the MEMBER from the obligation to make all payments required by the terms of this Membership Agreement.
Settlements: Payment disputes may be resolved through the HMRC claims procedures, and mediated by the appropriate third party legal counsel. Filing charges for claims against MEMBER for membership payments due to the STUDIO will be billed to MEMBER.
Should this Agreement be placed in the hands of a lawyer for the violation of any provision contained herein, the parties agree the STUDIO shall be entitled to recover all costs and expenses resulting there from, including a reasonable amount for legal fees.
The parties hereby agree that the whole agreement between the parties relating to the subject matter hereof is contained in this Agreement and shall supersede any prior understandings, arrangements, commitments, or undertakings of the parties, whether written or oral, express, or implied.
This Agreement may not be amended or modified except by an instrument in writing executed by the parties hereto.
MEMBER authorises the STUDIO, and their authorised designees to contact them by email, telephone, or by other means. Subject to applicable law, Member agrees that any of these parties may contact Member at any mailing address, phone number or e-mail address set forth on the face of this agreement, or any other address subsequently provided to, or obtained by, any such party.
The STUDIO retains the right to modify these policies without warning. Reasonable rules and regulations may be posted in the Membership Guide or at the STUDIO from time to time and all MEMBERs shall be subject to strict compliance therewith. The most current copy of the Membership Guide can be found at the STUDIO or on the STUDIO’s website.
ADDITIONAL TERMS
DEFAULT AND LATE PAYMENTS: Should you default on any payment obligation as called for in this agreement, the STUDIO will have the right to declare the entire remaining balance due and you agree to pay allowable interest, and all costs of collection, including but not limited to collection agency fees, court costs, and legal fees. A default occurs when any payment due under this agreement is more than ten days late. AN £11 SERVICE FEE WILL BE CHARGED IMMEDIATELY FOR ANY CREDIT/DEBIT CARD RETURNED FOR INSUFFICIENT FUNDS OR ANY OTHER REASON AFTER 2 PAYMENT ATTEMPTS HAVE BEEN MADE. SHOULD ANY MONTHLY PAYMENT BECOME MORE THAN 30 DAYS PAST DUE, YOU WILL BE CHARGED AN ADDITIONAL £11 LATE FEE FOR PROCESSING.
RIGHT TO CHANGE DESIGNATED BILLING COMPANY (BILLING SYSTEM): The STUDIO hereby reserves the right to change the Designated Billing Company (BILLING SYSTEM) at their discretion and without warning. If such a change is made, the full terms and conditions of this agreement will continue to apply and you agree to authorise the new Designated Billing Company to continue drafting your account.
RIGHT TO UPDATE MEMBERSHIP PRICES: The STUDIO will endeavour to maintain the price promise as agreed in the terms and conditions of this purchase, however, after the initial term commitment is honoured, we reserve the right to update and change service pricing in line with inflation and HMRC tax demands.
NOTICE: ANY HOLDER OF THIS AGREEMENT IS SUBJECT TO ALL CLAIMS AND DEFENCES IN WHICH THE DEBTOR COULD ASSERT AGAINST THE SELLER OF GOODS OR SERVICES OBTAINED OR WITH THE PROCEEDS HEREOF, RECOVERY BY THE DEBTOR SHALL NOT EXCEED AMOUNTS PAID BY THE DEBTOR.
MAINTENANCE OF FACILITIES: The STUDIO may be temporarily closed for periods of up to 2 weeks each year for maintenance purposes.
MEMBERSHIP SUSPENSION POLICY: If you have a term membership (i.e. 12-month, etc.) you may suspend time on your membership according to the policies listed for the specific membership. Suspending your membership does not stop your membership payment obligations. You are still liable for your original payment schedule and contract duration. Once you resume usage of the STUDIO, the suspension will terminate. Time of any suspension will be credited to the end of your membership’s original term.
MEMBER OBLIGATIONS: (1) MEMBER agrees to abide by all STUDIO policies, follow the directions of the staff and teaching team regarding safety and security issues, and to treat the staff, teaching team and other MEMBERS with courtesy as outlined in the Code of Conduct. (2) MEMBER agrees to pay monthly dues on time, including notifying the STUDIO promptly if banking or credit card information used for automatic payment changes, or to be charged a declined payment fee and/or a late fee per delinquent payment. (3) MEMBER agrees to pay all costs of collection incurred by the holder of this agreement if this account becomes more than 60 days past due. (4) MEMBER agrees to continue to fulfil the financial obligation of this agreement, except as allowed for extenuating circumstances that will be arranged in writing and actioned according to STUDIO discretion.
* EARLY TERMINATION FEES: When a 3 month contract is terminated before the term commitment, a ONE MONTH payment fee at the monthly rate will be charged. For 12 month contracts, the fee payable will be £11 per month of the duration of time used. (For example, an early termination fee for a 3 month £99 Elevate Membership, ended after 2 months of usage would be £99. For an early termination of a 12 month Elevate membership, billed at £88/mo, terminated after 8 months would be £88.)
Refund Policy
All purchases made are considered final at the time of sale.
Within reason, if an event purchase, or time sensitive pass needs a refund or extension, we will do our best to consider your circumstances.
Where a refund is issued…
For a membership - a maximum of one month refund will be available dependent on circumstances.
For a class pass - only unused sessions may be refunded.
For time length passes - a refund will be made after the charge of sessions attended is paid for at FULL PRICE.
We reserve the right to charge a 10% administrative fee of the product cost for the processing of refunds.
Studio Rental Terms and Conditions
All bookings require payment in full to secure the space
If you need to cancel your one-off rental, we require 72 hours notice before the start time of your rental for you to receive a full refund. Any cancellations within 72 hours of the event will incur a fee of 50% of the room rental cost.
If you need to transfer your booking to another date, we also ask for a minimum of 72 hours' notice to waive the 50% fee.
If (due to unexpected closure) we are unable to uphold your booking, we will transfer the payments made to a future date.
Monthly bookings require payment at the START of each month.
If you hold a recurring room rental with Soul Fire Studios, we kindly request 4 weeks' written notice if you choose to leave.
Upon booking, you agree to leave the space as you left it (or better), wash up any mugs or glasses used, dispose of rubbish in appropriate bins, and follow any closing procedures you have been made aware of.
Damages to studio property will incur additional charges.
You are responsible for maintaining legal health and safety practices for your group for the duration of the rental.
Please do not use any equipment you are not trained to use (e.g. dharma wheel, aerial silks, etc.)
The duration of your booking is based on the length of your event, inclusive of 30-mins set-up and breakdown time. If more time is required please include it in your request.
For enhanced cleanliness...
We will ensure that the space is clean before and after the room rental is complete.
Mats are included in the rental, however, we ask that you clean down all mats used using the sanitiser provided.
